Job Description

A private single-family office is seeking an experienced Director of Family Office Finance & Operations to oversee the family's day-to-day financial administration, accounting, reporting, cash management, and financial operations.

This is a senior, highly trusted position requiring someone who combines the technical capabilities of a strong controller with the practical, hands-on approach of an experienced family-office professional.

The Director will oversee accounting and administrative staff while remaining directly involved in the work. The successful candidate must be equally comfortable reviewing consolidated financial statements, coordinating with attorneys and tax advisors, managing cash and banking relationships, investigating an unusual transaction, or resolving a reconciliation problem personally.

The position requires exceptional discretion, sound judgment, strong financial controls, attention to detail, and the ability to manage complex matters independently.

Key ResponsibilitiesFinancial Reporting & Accounting

  • Oversee accounting and financial reporting for the family and related entities, including LLCs, partnerships, trusts and other structures.
  • Maintain accurate general ledgers and ensure timely monthly and year-end closes.
  • Prepare and maintain consolidated financial reporting across family entities.
  • Maintain a current consolidated family balance sheet reflecting significant assets, liabilities, investments and other financial interests.
  • Review financial statements, reconciliations and journal entries for accuracy and unusual activity.
  • Establish consistent accounting policies across entities and improve the quality and timeliness of financial information.
  • Identify unusual transactions, discrepancies, unnecessary expenses, financial risks and opportunities to improve financial efficiency.

Cash, Treasury & Banking

  • Maintain an accurate understanding of cash and liquidity across family entities and accounts.
  • Prepare regular cash and liquidity reports showing available cash, anticipated receipts, upcoming obligations and significant expenditures.
  • Manage banking relationships, account administration, authorized signers and banking documentation.
  • Oversee wires, ACH transactions, bill payments and other cash movements.
  • Coordinate capital calls, investment distributions, tax payments and other significant cash requirements.
  • Identify opportunities to improve cash management and treasury practices.

Controls & Financial Governance

  • Establish and maintain strong internal financial controls.
  • Develop appropriate approval procedures for payments, wires, new vendors and changes to banking information.
  • Maintain appropriate segregation of duties and dual-authorization procedures.
  • Monitor transactions for unusual or unauthorized activity.
  • Maintain clear documentation and audit trails for significant transactions.
  • Periodically evaluate financial processes and recommend improvements.
  • Ensure confidential financial information and account credentials are appropriately protected.

Entity Administration

  • Maintain an organized record of family entities, trusts and other structures.
  • Track ownership, bank accounts, tax identification information, authorized signers and key professional advisors.
  • Coordinate annual filings, registered-agent requirements and other recurring entity obligations with legal and tax advisors.
  • Monitor intercompany and inter-entity transactions and ensure they are appropriately documented and reconciled.

Tax & Professional Advisor Coordination

  • Serve as a primary financial liaison among the family, outside CPA firms, tax advisors, attorneys, bankers, investment managers, insurance professionals and other advisors.
  • Coordinate preparation of individual, trust, partnership and entity tax returns with outside tax professionals.
  • Maintain a calendar of estimated tax payments, filing deadlines and other significant financial obligations.
  • Ensure outside professionals receive complete and accurate financial information on a timely basis.
  • Track open items and ensure professional advisors complete agreed-upon work.

Investments & Financial Information

  • Maintain accurate records of investment accounts, capital contributions, distributions and other investment activity.
  • Coordinate investment reporting received from banks, investment managers and other financial institutions.
  • Assist the family in understanding consolidated investment and financial information.
  • Coordinate with investment professionals as necessary while recognizing that investment decisions may remain with the family and its investment advisors.

Family Office Operations

  • Oversee bill payment, accounts payable, payroll and other recurring financial-administration functions.
  • Coordinate financial administration relating to residences and other significant family assets as required.
  • Assist with budgeting and tracking significant household and family expenditures.
  • Coordinate insurance, benefits and other financial-administration matters with appropriate outside professionals.
  • Maintain organized financial and legal records and ensure important documents can be readily located.
  • Manage special financial and operational projects for the family.

Technology & Process Improvement

  • Evaluate and improve accounting, reporting, bill-payment and document-management systems.
  • Utilize technology and automation to reduce manual processes, improve accuracy and provide better financial information.
  • Develop practical dashboards and reporting tools that allow the family to understand its financial position quickly.
  • Maintain strong proficiency in Excel and relevant accounting and financial-management platforms.

Team Leadership

  • Manage, coach and develop accounting and administrative staff.
  • Establish clear responsibilities, deadlines and standards.
  • Review work while maintaining sufficient familiarity with underlying transactions to identify problems.
  • Build a culture of accuracy, accountability, confidentiality and responsiveness.
  • Remain willing to personally address accounting or operational issues when circumstances require it.

Candidate Profile

The ideal candidate will have 12–20+ years of progressive accounting, finance, controller or family-office experience, preferably involving high-net-worth individuals, privately held businesses or complex multi-entity structures.

The successful candidate will be a senior financial professional who remains comfortable working in the details rather than simply delegating responsibility.

Preferred Experience

  • Bachelor's degree in Accounting, Finance or related field.
  • CPA strongly preferred.
  • Public-accounting experience, particularly Big Four or a strong regional accounting firm, is highly desirable.
  • Significant controller, assistant controller, CFO, family-office or private-client accounting experience.
  • Experience working with multiple LLCs, partnerships, trusts and investment entities.
  • Strong knowledge of general-ledger accounting, financial reporting, reconciliations, AP, payroll and cash management.
  • Experience coordinating individual and entity tax matters with outside CPA firms.
  • Experience implementing or strengthening internal controls.
  • Advanced Excel capabilities.
  • Experience with QuickBooks Enterprise and/or QuickBooks Online.
  • Experience with Bill.com, Ramp or comparable payment platforms.
  • Experience improving financial processes through technology and automation.

  • Financial records are well documented and audit-ready.
  • Accounting staff operate with clear responsibilities and accountability.
  • Technology and automation are used intelligently to improve efficiency without sacrificing financial controls.

Pay: $150,000.00 - $200,000.00 per year
